Introduction
mmHub ("we", "us", or "our") operates the mmCashBook mobile application (the "App"). This Privacy Policy explains how we collect, use, and protect your personal information when you use mmCashBook. By using the App, you agree to this policy.
Section 2
Information We Collect
We collect the following types of information:
- Account information: your name, email address, and profile photo (from Google or Apple sign-in, or provided by you during registration).
- Financial data: transactions (amount, date, category, description, payment method) and cashbook names that you enter into the App.
- Device information: device type, operating system version, and app version — used for crash reporting and compatibility.
- Usage data: feature usage patterns (e.g. which screens are visited, voice/AI import frequency) — collected anonymously to improve the App.
- Voice recordings: when you use AI Voice Input, audio is sent to our AI processing service (Google Cloud / Gemini API) and is not permanently stored after transcription.
- Photos/images: when you use Invoice Photo Scan, images are sent to our AI processing service for extraction and are not permanently stored.
Section 3
How We Use Your Information
- To provide and maintain the App's core functionality (syncing transactions, budgets, reports).
- To authenticate your account via Google Sign-In or Apple Sign-In.
- To deliver AI-powered features (voice input, receipt scanning, CSV import).
- To display relevant advertisements on the Free tier (served by Google AdMob).
- To send important service notifications (e.g. payment confirmation, subscription updates).
- To diagnose crashes and improve App performance.
- To comply with legal obligations.
Section 4
Third-Party Services
mmCashBook uses the following third-party services, each with their own privacy practices:
- Google Firebase (Authentication, Firestore, Cloud Functions, Crashlytics) – stores your account and financial data securely in the cloud.
- Google Sign-In – for account authentication.
- Apple Sign-In – for account authentication on iOS.
- Google AdMob – displays ads on the Free tier. May collect advertising identifiers.
- Google Cloud / Gemini API – processes voice recordings and images for AI extraction. Data is not retained after processing.
Section 5
Data Storage and Security
Your financial data is stored in Google Firebase Firestore, protected by Firestore security rules that ensure only you (and team members you explicitly invite) can access your cashbooks. We use HTTPS/TLS for all data in transit. We do not sell your data to third parties.
Section 6
Data Retention and Deletion
Your data is retained for as long as your account is active. You may delete your account and all associated data at any time from Settings > Account > Delete Account within the App. Upon deletion, your data is permanently removed from our servers within 30 days.
Section 7
Children's Privacy
mmCashBook is not directed to children under the age of 13. We do not knowingly collect personal information from children under 13. If we become aware that a child under 13 has provided personal information, we will delete it promptly.
Section 8
Your Rights
Depending on your location, you may have the right to:
- Access the personal information we hold about you.
- Correct inaccurate personal information.
- Request deletion of your personal information.
- Object to or restrict our processing of your personal information.

Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of significant changes by updating the "Last updated" date above. Continued use of the App after changes constitutes your acceptance of the revised policy.
